Definition and Procedure"},"content":{"rendered":"<p>Carrying on with our accounting question blog series, this week we\u2019re focusing on <strong>petty cash<\/strong> \u2014 primarily what it is, the main procedure behind it, and how you can use Clear Books to record your expenditure.<\/p>\n<h3><b>What is petty cash?<\/b><\/h3>\n<p>Petty cash, in simple terms, is an amount of money that a business has available to pay for something inexpensive, so an employee doesn\u2019t have to use their own money.<\/p>\n<p>Some examples of occasions when you might use petty cash are:<\/p>\n<ul>\n<li>If you\u2019re posting an important business letter and need to buy a stamp<\/li>\n<li>If you\u2019re reimbursing an employee for buying food or drink for the company<\/li>\n<li>If you\u2019re\u00a0covering travelling costs\u00a0for an employee who is going away on a business trip<\/li>\n<\/ul>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"aligncenter wp-image-23824 size-full\" src=\"https:\/\/www.clearbooks.co.uk\/wp-content\/uploads\/2015\/06\/dividends-1.png\" alt=\"dividends 1\" width=\"600\" height=\"192\" \/><\/p>\n<h3><b>The petty cash procedure:<\/b><\/h3>\n<p>Most larger businesses will appoint a junior member of staff as the <strong>petty cashier<\/strong> \u2014 who is then responsible for looking after the petty cash on behalf of the <strong>main cashier<\/strong>. The main cashier, will hand over a particular sum of money (usually agreed in advance), which is referred to as a \u2018float\u2019.<\/p>\n<p><strong>For example<\/strong>, a business might decide that \u00a350 is enough money to have in the petty cash fund over a particular period.<\/p>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"aligncenter wp-image-24406 size-full\" src=\"https:\/\/www.clearbooks.co.uk\/wp-content\/uploads\/2015\/08\/mascot-coin.png\" alt=\"mascot-coin\" width=\"600\" height=\"247\" \/><\/p>\n<p>The nominated petty cashier has many responsibilities to successfully carry out their job, including:<\/p>\n<ul>\n<li>Being responsible for the \u2018float\u2019<\/li>\n<li>Carrying out payments to employees to repay them for expenses incurred on behalf of the business<\/li>\n<li>Requesting receipts to back up the expenses claimed<\/li>\n<li>Keeping records of all the payments made and amounts received<\/li>\n<li>Regularly checking the petty cash book is balanced (when the money in the fund is low, they have to request that cash be withdrawn from the bank in order to replenish the money that has been paid out.)<\/li>\n<\/ul>\n<p>It\u2019s also vital to ensure that you have a sturdy and lockable petty cash box where you keep all the money safe.
